Responsibilities:

The incumbent will provide administrative and clerical support for the day-to-day operation of the Physics Department. Specific duties include: receiving and directing incoming calls and visitors; responding to general inquiries; maintaining office equipment; sorting and distributing incoming mail and deliveries; collecting, distributing, and maintaining syllabi, signature sheets, consultancy reports and tenure materials; assembling and copying various documents according to defined procedures;  tracking and preparing adjunct letters; ordering departmental and grant supplies using the P-card; reconciling and reallocating p-card charges to the appropriate chart-string; arranging departmental and grant travel arrangements and processing related travel expenses; arranging weekly seminar travel arrangements for speakers, refreshments and parking; updating the website with current seminar information; coordinating annual department events and the MD Charity Campaign and performing other duties as assigned.

 

 

Required Minimum Qualifications:

Requires a High School Diploma or GED and two years experience providing administrative support.

REQUIRED KNOWLEDGE/SKILLS/ABILITIES
General knowledge of and skill in the practical application of generally accepted office practices and procedures. Ability to communicate effective both verbally and in writing.
Ability to proofread and edit written documents. Skill in various computer software packages, such as word processing, spreadsheets, database, and presentation programs, Internet, email and calendaring software. Ability to understand and follow verbal and written instructions. Ability to interact effectively with internal and external parties in a courteous and efficient manner. Ability to plan, organize, prioritize, and execute multiple and continuing assignments with general instructions.


Must have strong work ethic; and the ability to work well independently and as part of a team. The successful candidate will work well under pressure, be deadline driven and be able to multitask in a fast paced environment.

 

Preferred Qualifications: 

Experience in an academic setting is preferred. PeopleSoft experience is a plus.
