The Academic Affairs Other Units Shared Services Center (AAOU SSC) within the Office of the Provost, provides transactional support to 18-AAOU departments, in the areas of Human Resources and Payroll support. 

Responsibilities:

We currently have an opening for a Temporary Part-Time or Full-Time HR General Assistant. Several positions are available. In this position, the ideal candidate will have general knowledge of Payroll, Human Resources and is accustomed to working under pressure and meeting strict deadlines. The position will assist the Shared Service Center staff with various general administrative duties, as well as administrative duties in the areas of Payroll and Human Resources.

Day shift (between the hours of 8:30am and 5pm).  Flexible schedule available. 

The primary duties and responsibilities for this position are to support the AAOU Shared Services team through various administrative duties:

  • Maintain confidentiality of all pertinent personnel information in accordance with State, Federal and Company Policies

  • Assist with Onboarding of New Hires

    • Verify Employee Hiring Type and required HR paperwork (New Hire, Rehire, Concurrent)

    • Send new hire welcome emails

    • Scheduling New Hire Appointments

    • Review New Hire Paperwork for completion and accuracy

    • Verify I-9 Documentation

    • Process and submit all HR paperwork according to internal deadlines 

  • Assist with running reports for bi-weekly payroll

  • Provide payroll processing support on a bi-weekly basis

  • Serve as a backup payroll preparer (on an as needed basis)

  • Maintain electronic filing systems put in place within the Shared services Center. 

  • Data Entry (enter, update, scan and retrieve information as needed).

  • Assist with running financial reports

  • Answer AAOU SSC main telephone line and respond to inquiries or route to the appropriate team member

  • Special Projects as assigned

  • Perform additional duties as assigned

Required Minimum Qualifications:

Education:

  • High School Diploma/GED required

Experience:

  • One year of experience providing administrative support in Human Resources and Payroll.

  • General knowledge of and skill in the use of word processing and spreadsheet software to produce documents and maintain information.

  • Strong customer service skills

  • Ability to prioritize, organize, problem solve, and time management to meet deadlines/goals

  • Ability to communicate effectively (verbal and in writing) and provide proper follow up

  • Verbal and written communication skills with various audience levels

  • Be familiar with standard HR and Payroll forms (I-9, W-4, etc.)

Preferred Qualifications: 

Education:

  • Associates or Bachelors Degree in Human Resources, Accounting or Business Administration.

Experience:

  • Three to five years of experience providing administrative support in Human Resources and Payroll and/or Accounting/Finance
  • Strong customer service skills
  • Be familiar with Google Suites including Docs, Sheets, and Drive
Background Screening Statement:

Special Instructions to Applicants:

This role will support the AAOU SSC during our seasonal high volume periods, so we are hiring for multiple positions that can be either full time or part time based on our seasonal need.

Salary: Starting at $23 per hour
Hours: Status: Part Time or Full Time

Hours/Shifts: Day shift (between the hours of 8:30am and 5pm).  Flexible schedule available. 
Type: Temporary/Contingent I 
Additional Information: Initial contract will run through September 2024, and may be renewed in 6 or 12 month increments, depending on business need.
