Position Overview:

The Business Services Specialist, in the Academic Affairs Other Units Shared Services Center (AAOU SSC) will be primarily responsible for the day-to-day Accounting & Finance operations for the center’s 18+ units, as well as Human Resources and Payroll operations for our home department, and is the designated backup Payroll Preparer for other AAOU SSC staff, for all AAOU SSC assigned departments HR & Payroll operations.

Responsibilities:

Join the AAOU SSC! We are a centralized group that provides payroll and hiring assistance to departments under Academic Affairs. We serve as the subject matter experts on the University’s general business processes (Accounting, Budgeting, Finance, Human Resources, Payroll & Hiring, Procurement). Specific responsibilities include:

Accounting, Budgeting, Finance & Procurement

  • Generate, review, provide analysis and distribute monthly budget reports to AAOU SSC departments.

  • Prepares and processes payables, journal entries, etc.

  • Perform data analysis, revenue and expenditure tracking and reconciles expenses for all relevant accounts for all funding sources, including identifying, researching, and correcting errors in a timely manner

  • Participates in budget meetings with department Chairs/Managers/Directors for AAOU SSC departments, providing analysis/updates on budget progression

  • Participates in annual working budget process for AAOU SSC units at the direction of the Assistant Director and/or Director

  • Maintains records of budget request, amendments and analysis

  • Processes budget amendments for AAOU SSC departments via PeopleSoft Finance 

  • Collaborate with Procurement, Accounts Payable, Financial Services, and other University offices to ensure compliance with university policies and procedures and advise AAOU departments with respect to those policies

  • Reconcile expenses for all relevant accounts for all funding sources, including identifying, researching, and correcting errors in a timely manner

  • Enter/Process Payment Requests via PeopleSoft Finance/Paw Procurement System

  • Enter Requisitions into Paw Procurement system

  • Manage Purchase Orders

  • Receipt invoices against Contracts/Purchase Orders

  • Work with department/central offices and vendors to resolve issues related to purchase orders and invoices

  • Submit PO closure request

  • Other duties as assigned

Human Resources, Payroll & Hiring

  • Collaborates with Human Resources to ensure compliance with University policies and procedures, and advises department faculty and staff with respect to those policies.

  • Primary Payroll Preparer for AAOU SSC/Provost Office

    • Process bi-weekly payroll 

    • Responsible for accurate interpretation, processing, and review of time entry and other personnel data in PeopleSoft

  • Leads new hire onboarding process through completion for AAOU SSC/Provost Office

  • Prepares and processes the appropriate payroll and human resource paperwork for all hiring, transfers, terminations, labor distributions, or other actions for all employee types for AAOU SSC/Provost Office

  • Process leave payouts for terminated employees for AAOU SSC/Provost Office

  • Assist with reconciling compensation expenses for all accounts and funding sources, including identifying, researching, and correcting errors in a timely manner

  • Other duties as assigned

Required Minimum Qualifications:
  • High School Diploma or GED required

  • Six years progressively responsible experience in a combination of budgeting, accounting, payroll, purchasing and personnel work

Note: Additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.

Preferred Qualifications: 
  • Experience serving multiple clients, units, or department
  • Familiarity with General Accepted Accounting Principles (GAAP)
  • Experience/familiarity with payroll and hiring forms (i.e. I-9, W-4, etc.)
  • Technologically savvy (ability to learn new processes, systems and software quickly)
  • Experience using Google Applications such as Docs, Drive, Sheets, as well as experience using Microsoft Office products, specifically Word and Excel
  • Strong customer service skills and the ability to prioritize, organize, problem solve, and manage time to meet deadlines/goals
  • Excellent written and verbal communication, analytical and critical thinking skills
  • Comfortable working remotely or in a virtual setting
