Position Overview:

The Business Services Specialist for the Administrative Shared Services Office, reporting to the Business Manager, will work closely with the Office of the President, Office of Institutional Equity and Office of Government Relations and Community Affairs, providing business operations support.

Telework:

A hybrid telework schedule may be available. 

Responsibilities:
The Business Services Specialist, under the supervision of the Business Manager, maintains the regular activities of business management services for departments within the Administrative Shared Services Center. This position supports payroll,
departmental staff onboarding, procurement requests to include purchasing and contracts, accounts payable, journal entries and travel. This position will also act as secondary support for financial and admirative needs in the Financial
Services department.
 
Specific responsibilities include:
  • Perform and oversees payroll time entry process on behalf of Administrative Shared Services Center departments
  • Coordinates personnel requirements with Human Resources, including but not limited to: Recruitment, on-boarding and off-boarding, classification/compensation
  • Manages procurement of goods and services on behalf of Administrative Shared Services Center departments, including but not limited to: purchase requisitions, establishing and maintaining supplier contracts, accounts payable and receivable
  • Performs essential accounting activities including, but not limited to: invoices for POs and contracts and payment requests, processing of journal entries.
  • Ensures that financial transactions are in accordance with applicable authority, policies and procedures
  • Maintain financial records within the electronic filing system for monthly reconciliation.
  • Monitor and respond to communications and questions from Shared Services Center departments.
  • Act as a secondary HR liaison for Financial Services Department as needed.
Required Minimum Qualifications:
  • High School Diploma or GED
  • Six years progressively responsible experience in a combination of budgeting, accounting, payroll, purchasing and personnel work

Note: Additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.
