General Assistant - Program Administrative Specialist

Responsibilities:

The Program Administrative Specialist will provide comprehensive administrative and clerical support to the Entrepreneurship Center at UMBC. This role is essential for ensuring the smooth operation of the center, facilitating communication, and enhancing the productivity of the team. The ideal candidate will be highly organized, detail-oriented, and capable of managing multiple tasks efficiently.

Administrative Support:

  • Help in managing the schedule of the Center Director.
  • Coordinate and organize meetings, workshops, and events, including logistics (room scheduling), catering, and guest arrangements, including parking codes.
  • Handle incoming calls, emails, and correspondence, responding or redirecting as appropriate.
  • Prepare and edit documents, reports, and presentations.
  • Maintain accurate and up-to-date records and databases.

Financial Administration:

  • Assist with budget tracking and financial reporting.
  • Process invoices, purchase orders, and reimbursements.
  • Maintain financial records and assist with audits as needed (including, but not limited to Faculty Fellows and Minor Director, Adjunct instructors, Interns and SEAs, competition winners, scholarship recipients, CENTRE awards, Curriculum Grants, URAs, Launchpad expenses).

Communication and Outreach:

  • Assist in the development and distribution of promotional materials, newsletters, and social media content.
  • Support the organization of marketing campaigns and outreach activities.
  • Manage 1 Million Cups website and updates as well as communicating upcoming meetings.

Program Support:

  • Assist in the planning and execution of entrepreneurship programs, workshops, and competitions, including Launchpad / Demo Day, Idea Competition, CBIC
  • Coordinate with faculty, students, and external partners to facilitate program activities.
  • Collect and analyze data related to program participation and outcomes.

Office Management:

  • Ensure the office is well-maintained and stocked with necessary supplies.
  • Manage and coordinate marketing materials for interns and Student Entrepreneurship Ambassadors.
Required Minimum Qualifications:

Education and Experience:

  • Bachelor's Degree
  • Four years experience in administrative staff work, preferably in a university or entrepreneurial environment.
Background Screening Statement:

Salary:

Salary range: Minimum: $25 per hour.  Maximum: $32 per hour. Salary is commensurate with qualifications and experience. 

The above salary range represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting.

Benefits:  Health Coverage Eligibility under the Affordable Care Act (ACA) may be available to employees meeting the criteria.  
Hours: Part-time (up to 20 hours per week).
