Position Overview:

The Academic Affairs Other Units Shared Services Center (AAOU SSC) within the Office of the Provost is seeking a Business Operations Coordinator. Responsibilities include: leading a staff of six direct reports, day-to-day management of the center’s ticketing system and timely and accurate review and approval of all of the center’s transactions (i.e. HR, Payroll & Hiring, Finance, Accounts Payable, Procurement). This position will be the primary point of contact for all AAOU SSC escalations.

Join the AAOU SSC!!! We are a centralized group that provides payroll and hiring assistance to departments under Academic Affairs. We serve as the subject matter experts on the University’s payroll, hiring, and general business processes. If you enjoy working in a fast-paced environment, please apply.

Specific responsibilities include:

  • Lead and direct a team of six direct reports, two of which are full-time regular staff, as well as two part-time staff and two seasonal full-time team members
  • Maintain confidentiality of all pertinent personnel information in accordance with state, federal and university policies
  • Manage the center's Request Tracker (RT) Ticketing system, reviewing tickets for accuracy and completeness, assigning tickets to AAOU SSC team members for processing, maintaining an RT tracking system to ensure timely completion and approval of tickets ahead of central office deadlines
  • Review and Approve all AAOU SSC transaction for submission to central offices
  • Review and Approval all Time Entry reports and Preliminary Gross Pay Reports on a bi-weekly basis
  • Research and respond to Central HR requests for information
  • Collaborate with AAOU SSC Assistant Director on anticipated SSC volume and staffing plans to ensure adequate coverage throughout the fiscal year
  • Primary Point of Contact for all AAOU SSC escalations
Required Minimum Qualifications:
  • Requires a Bachelor's Degree, preferably in Accounting, Business Management, Human Resources Management or a related field.
  • Two years of experience in Human Resources, Payroll, Accounting and/or a related area.
  • One year of supervisory experience.
Preferred Qualifications: 

• Experience serving multiple clients, units, or departments
• Experience/familiarity with payroll and hiring forms (i.e. I-9, W-4, etc.)
• Technologically savvy (ability to learn new processes, systems and software quickly)
• Experience using Google Applications such as Docs, Drive, Sheets, as well as experience using Microsoft Office products, specifically Word and Excel
• Strong customer service skills and the ability to prioritize, organize, problem solve, and manage time to meet deadlines/goals
• Excellent written and verbal communication, analytical and critical thinking skills
• Comfortable working remotely or in a virtual setting
