Position Overview:

The Executive Coordinator for the Provost and Senior Vice President for Academic Affairs supports both the Provost and Senior Vice President for Academic Affairs and is responsible for managing activities within the Provost office, which includes communications, workflow, providing support for student retention & success activities, inquiries, and/or other related information.

The Executive Coordinator plays a key role in providing an inclusive, knowledgeable, and largely independent administration of (but not limited to) the Provost’s time, calendar, goals, recordkeeping, technology needs, and project portfolio.

Responsibilities:

Strategic Time, Event, and Calendar Optimization:

  • Exercises initiative and independent judgment in facilitating the management and efficient utilization of the Provost & Senior Vice President for Academic Affairs time through development and coordination of a complex calendar of appointments, meetings, and university and community functions with individuals and groups
  • Assists in program planning and development as well as coordinate logistics for ceremonies, retreats, meetings, and other events and gathers required background information in support of the events – both routine and specialized

Operations Administration and Supervision:

  • May oversee full-time staff support, student employees and/or Graduate Assistants
  • Research and draft guidelines and procedures to enhance performance of department
  • Implement new policy and procedures from USM/ Management Advisory Services on behalf of the Provost Office when necessary
  • Facilitates day-to-day operational and administrative details

Communication and Stakeholder Relations:

  • Serves as a liaison between the Provost & Senior Vice President for Academic Affairs, and other university administrators, faculty, staff, and various departments and units served by the university by communicating and/or interpreting policy, decisions, and documents issued by university, gathering information and providing information to the Provost 
  • Schedule arrangements for media interviews in consultation with Communications & Marketing
  • Performs other duties as assigned.

 

Required Minimum Qualifications:
  • Associate's Degree
  • Must have strong proficiency in MS Word, Excel, PowerPoint, Google Applications, Video Conferencing (Webex, Zoom, etc.).
  • Six year of executive level administrative support, two of which was providing primary support to senior key administrator.
  • Exceptional organizational and project management skills.
  • Excellent interpersonal and communication skills required.
  • Ability to interact with a broad range of internal and external constituencies, including senior executives and Trustees required.

  Note: Additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.

Position may require afternoon and weekend hours.

Preferred Qualifications: 
  • Bachelor's degree
  • Administrative experience within Higher Education/collegiate setting
  • Strong emotional intelligence and ability to relate industry goals to the competitive landscape of a institution/organization

Salary:

Salary: $75,500-85,000 depending on qualifications and experience.

The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, budget, prior experience, skills, knowledge, abilities, education, licensure and certifications, and other business considerations.

The above salary range represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting.
