Responsibilities:

The University of Maryland, Baltimore County (UMBC) is seeking a Program Management Specialist to serve as the Graduate Program Coordinator for the Department of Chemistry & Biochemistry. Reporting to the Department Chair and working closely with graduate students, the Graduate Program Director and administrative staff in the Graduate School, the incumbent will be responsible for coordination, outreach and administration of the departmental graduate student programs.

Specific duties include:

  • Serving as intermediary for Departmental Graduate Program Director, interacting with officials, staff at all levels, graduate students (enrolled and prospective) and the public 
  • Coordinating and controlling the collection of required application and support materials for prospective graduate students for the Chemistry Ph.D. and M.S. programs
  • Interpreting administrative decisions and policies for graduate students and transmitting directions and instructions based on authority delegated by the Director.
  • Managing student application and reviewing process, phone and e-mail responses to prospective students
  • Customizing special reports using statistical data for submission of graduate student training grant and other required drafts
  • Issuing DocuSign graduate assistantship contracts, health insurance enrollment and tuition remission forms as well as coordinating distribution of financial aid and scholarship materials to students
  • Coordinating the inventory and distribution of financial aid and scholarship materials and other publications
  • Processing graduate student travel requests and reimbursement
  • Coordinating and supporting submission of grants for extramural graduate training programs
  • Performing other duties as assigned

Required Qualifications:

Requires a Bachelor's Degree and two years experience in administrative staff work.

Additional related experience and formal education in which one has gained the knowledge, skills, and abilities required may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.

Preferred Qualifications: 

Strong verbal and written communications skills, commitment to exemplary customer service, multi-tasking experience and familiarity with spreadsheet and word processing software as well as document imaging and DocuSign forms. Experience working with students.
